The Vacancy
We’re looking for an Operations Executive to join our Commercial Group Operations team, to support the oversight and coordination of systems and processes, which drive Commercial Group activity across the firm. The primary focus will relate to our Client due diligence responses, but will also work with Bids, New Business, Client Management and Marketing teams.
Core Responsibilities
Managing and completing firm’s responses to GDPR related client due-diligence requests.
Managing the Client Due Diligence process including response coordination, liaison with Subject Matter Experts, recording activity, and feeding updated content to the Knowledge Manager.
Recording and updating data on our CRM platform (Dynamics 365), across our full client lifecycle.
Creating, updating, and maintaining SharePoint sites for all qualified-in opportunities including organising user permissions, adding documents received, maintaining the clarifications log, and archiving sites post-completion.
Managing and monitoring the Bids Team mailbox, dealing with or re-directing enquiries as relevant.
Coordinating supplier (framework) questionnaires.
Maintaining guides on routine processes including mailbox actions and Due Diligence workflows.
Additional Responsibilities
Supporting the Knowledge Manager with maintenance of the Knowledge base. Examples may include content updates, tender analysis and reporting.
Acting as a CRM Super User, promoting best practice across the firm, contributing to its development, and cascading training.
Compliance-related tasks such as auditing our SharePoint sites in relation to our opportunities.
Skills and Qualifications Required
Professional services industry experience would be an advantage
Project management experience would be beneficial
Proficient in MS Word and SharePoint
Experience with CRM systems (Dynamics 365 preferable) would be useful
